Check-in & E-Ticket

Check-in methods, the time window, e-tickets, and seat maps.

Common questions

Check-in is always done by you or your staff, in three ways: scan the QR on the participant's e-ticket with the Ticket scanner, type the 7-character E-Ticket Code under the QR (Or enter the code manually), or tap Check in in the participant list. Participants can't check themselves in.

E-tickets are always on for every activity and can't be turned off. One scan records one seat, so a booking for several people has a QR for each person.

There's no time window for scanning: QR codes and E-Ticket Codes can be checked at any time until the activity is done. The Check in button in the participant list only appears on the day of the activity. Check-in only succeeds if the participant is confirmed and has not checked in before, and a manual check-in can be undone if it was a mistake.

Upload a seat map image when creating the activity (requires KUYY Premium; a seat map can't be added later to an activity created without one). The feature turns on automatically as long as the image is saved, for free and paid activities alike.

The number of seats follows the capacity minus one (for the host). Seat numbers get a letter prefix automatically per activity, for example A1, A2, and so on.

No. KUYY only creates the numbers in the system: with a capacity of 11, participants see numbers 1 to 10, because one slot is the host's. The layout image stays exactly as you drew it.

Writing the numbers onto the image is your job as the host. If the layout you upload carries no numbers, participants can still pick one, but they won't know which spot they've taken.

So prepare a numbered layout image, and make sure its numbering lines up with the system's, before you upload it.

Yes. Every new session created from a recurring schedule uses the same seat map as the original activity, and booked seats are counted separately for each session.

Yes. Every e-ticket has a 7-character E-Ticket Code under its QR, with or without a seat map. In the web Ticket scanner, type it under Or enter the code manually and press Verify; in the app, choose Input Code. Without a code, tap Check in next to the participant's name in the participant list.

Detailed rules for each related feature, plus important notes.

Every confirmed participant automatically gets an e-ticket with a QR code, one for each person in their registration. Check-in is always recorded by you, your staff with Check-in access, or an instructor for the classes they teach, by scanning the participant's e-ticket QR or ticking them off in the participant list.

  • •E-tickets are always on for every activity and can't be turned off. Every person in a registration gets their own QR and ticket code, and the e-ticket is also emailed to the participant.
  • •Scan the participant's e-ticket QR with the Ticket scanner on the activity page, or type the ticket code (6 or 7 letters and numbers) if the camera can't read the QR.
  • •You can also mark participants as checked in manually from the participant list, and undo a check-in made by mistake.
  • •Check-in only succeeds for confirmed participants; a ticket that has already been used is rejected when scanned again.
  • •There's no check-in method setting: check-in is always done by the host, by staff with Check-in access (by default Front Desk, Supervisor and Manager; Business plan) on the host's behalf, or by an instructor who accepted their invitation, for the classes they teach, by scanning the QR or ticking manually.
  • •In the participant list you can see each participant's check-in status, name, and registration number.

Important notes

• There is no self check-in; ask the host or their staff to scan your ticket when you arrive.

• An e-ticket can't be used twice; a ticket that has already been scanned is rejected when scanned again.

The seat map lets participants choose a seat number when they register. You upload a seat map image when you create the activity, and the number of seats follows the capacity. The feature needs Premium and works on both paid and free activities.

  • •Upload the map image under Seating plan when creating the activity (Premium needed). A seat map can only be added when the activity is created.
  • •Seats are numbered from 1 to the capacity minus one (one spot is yours as the host). Mark the seat numbers on your map image so participants know where they are.
  • •In a recurring schedule, every session uses the same map image, but seats are booked separately per session.
  • •Participants from the waitlist don't pick seats; when they're called up, they're given a free seat automatically.
  • •The seat map works together with Request to Join: participants pick their seats when they send the request.
  • •Activities with a seat map don't support Add friends after registration.

Important notes

• If the activity is cancelled, all seats are released; the refund follows the host's choice, not the seat feature.

• Walk-in registration by the host also uses seat selection.
